Old Birth Certificates Are They Acceptable For Ny Apostilles
Old birth certificates, both short and long form, are acceptable for New York apostilles if they are signed by one of the following regisrars: STEVEN P. SCHWARTZ * IRENE A. SCANLON * EARLENE PRICE * IRWING MELLON
Depending on the year when the certificate was issued, it can be blue, green, yellow, pink or white in color. The color and the year of issue do not matter. Please check the name of the City Registrar. If it is one of the names listed above, your birth certificate is acceptable.

Apostille Birth Certificate Definition
An apostille is a certification provided under the 1961 Hague Convention for authenticating documents for use in foreign countries. The main function of a birth certificate apostille is to certify the authenticity of the signature of the document. The U.S Department of State will only issue apostilles for federal documents to use in countries that are members of the 1961 Hague Convention. For instance, documents signed by:
- A U.S. federal official
- A U.S. consular officer
- A military notary, judge advocate , or foreign consul diplomatic official registered with the U.S. Department of State’s Office of Protocol
State-issues documents for use in countries that are members of 1961 convention must be authenticated by the competent authority in the state where the document was issued.
Most states consider that a birth certificate is a private document but any person can obtain an apostille of their birth certificate. An apostille birthcertification is an official copy of the original document that is verified and signed by the respective official.

Long Form Nyc Birth Certificate
A long-form birth certificate has all of the information you would expect to see on a birth certificate:
- Full name
- Date and time of birth
- The precise place of birth
- Gender
- The name of the doctor or midwife who attended your birth
- Parents full names, including mothers maiden name
- Parents dates and places of birth
- Signatures.
Long-form is a digital image of the original paper document that carries signatures of those present at birth. It is 8.5 x 11 long and very often is accompanied by a Letter of Exemplification.
You will need a long-form birth certificate if you are trying to get a new passport, applying for dual citizenship, etc.
The Secret Is: Go To The Back Of The Building
There, you can simply dash through a second check point with no waiting time at all. Don’t ask us why the court won’t tell people about this second entry. A simple banner telling people about the second door would save literally hundreds if not thousands of hours wasted in line at this court. But, we never saw such banner by the main entrance. So, make sure you pick the right entrance at the building.
Once inside the building, take the elevator or stairs to the basement. Once there, go to “Room 161” and take the left line.

The first half of the secret: you might get your document notarized for free at the county clerk!! Ops, why have we told you to bring your document already notarized, then? Are we on the same team that derives pleasure from making people waste time?
So, now you know you should never go to the County Clerk for a free translation. Saying that aloud, maybe reducing their workload is one of the reasons why they are so quick to decline notarizing documents. One last note on them. They will tell you that “although they won’t do the translation for you, any translators outside the court should do”. Go figure.

What Is An Apostille
If you are applying for dual citizenship, youve probably come across the word apostille.
An apostille is a type of authentication for a document. Apostilles are necessary when a document will be sent to another country. For example, applicants for dual citizenship submit vital records with apostilles guaranteeing the authenticity of those documents.
How do you pronounce apostille? Nobody agrees. The most popular pronunciations Ive heard are ah-puh-STEEL and uh-POSS-teel. All I know is that autocorrect always changes apostille to apostle, which has a completely different pronunciation and meaning. Thanks, technology!
Getting an apostille can be confusing. In New York City, you need to visit three offices to get an apostille for your document. Therefore, the easiest and fastest way to get an apostille in New York City is to visit in-person or hire someone to go on your behalf. If you live outside of the New York City area, you can complete the process from afar by mail. The mail-in process is less expensive, but may take weeks or months. Totally your call, depending on your needs and resources.

One: Get The Document That Needs An Apostille
In my line of work, most documents that need apostilles are vital records submitted for dual citizenship. Vital records for ancestors who were born, married, or died in New York City will be at the New York City Department of Health or the New York City Municipal Archives .
If your vital record is at the Municipal Archives, here are a few helpful tips:
When you purchase your record copy, let the staff know that you are getting an apostille. Currently, records cost $11 each.
The staff will print out a letter for you. Currently, that costs $5.
The staff will also give you a handout with the locations for the New York County Clerk and New York State Department of State offices. Ignore this handout. Some of the information is outdated and incorrect.
What If The Country Is Not A Signatory Of The Apostille Treaty
If you have a business translation that needs to be effective in another country that does not recognize an Apostille, then you will need to contact that countrys consulate to find out the required steps for legalizing your document. The consulate will be able to walk you through the necessary steps to gain whatever certification is required. Two: Authentication By The County Clerk
The County Clerk must authenticate new York City issued Birth Certificate to be submitted for apostille or certificate of authentication. A birth certificate must bear a letter of exemplification .
Due to the volume of matters received, the County Clerk of New York County generally requires three to four weeks to process applications for authentication submitted by mail. Documents presented in proper form in person are processed immediately.

In all cases documents must be accompanied by a letter stating the country where the docu-ments will be used and asking for the Apostille according to the Hague Convention.
All documents to receive the Apostille must be signed with the original signature of the notary public or other official of the competent U. S. state whose term of office is on record with the Secretary of the State, the Department of State or the Department of the Treasury.
Should the signature on the document not be an original but a facsimile signature, the original signature of the official who has signed the document has to be obtained first before obtaining the Apostille.
How To Order An Apostille Certificate From The New York Department Of State
An original or certified copy is required. You can order a certified copy of your articles and request an Apostille at the same time. We recommend mailing the order. Short Vs A Long Form Of Nyc Birth Certificate
Many of you dont know that, but there are 2 different forms of birth certificate: short-form and long-form.
Essentially, both forms attest to an individuals birth and present details such as place, time, and parents. Both short and long-form birth certificates serve the same purpose: establish legal proof of birth in the U.S.
Obtaining a copy of a long-form certificate- may take longer than requesting its short-form counterpart.
One: Obtaining The Record
If a person requires official proof of his/her birth in New York City with an apostille or certificate of authentication, the applicant must first obtain a copy of the birth certificate with a letter of exemplification from the New York City Department of Health and Mental Hygiene, Vital Records Division. They will issue the letter of exemplification only upon request. Applications may be made in person at the Departments Office, by mail, or online.
There are restrictions on who may submit the applications . Proof of identity is required.
Currently, the processing of applications by mail takes about 20 weeks. Applications online must be paid for by credit or debit card or electronic check. Online applications are processed for up to 3-4 weeks.
